Terms of Service
These terms describe the rules for using AI Bot — a service for healthcare organizations to communicate with patients. By using the service, you confirm that you have the right to act on behalf of the organization and agree to these terms.
Acceptance of terms
AI Bot is provided to healthcare organizations, diagnostic centers, laboratories and their authorized employees. If you create an account or use the service on behalf of an organization, you confirm that you have sufficient authority to accept these terms for that organization.
Organization account
Access to the service is performed via Google or Microsoft SSO. You are responsible for the accuracy of account data, controlling employee access and revoking access in a timely manner for users who are no longer with your organization.
- sharing accounts with third parties is prohibited;
- user permissions must match their roles in the clinic;
- suspected unauthorized access must be reported to us immediately.
Purpose of the service
AI Bot helps process informational patient inquiries: questions about services, prices, branches, working hours, procedure preparation, contact channels, and handoff of complex conversations to an operator. The service is not a medical device, telemedicine platform, or substitute for a doctor's consultation.
Medical limits of the AI
AI Bot does not diagnose, does not prescribe treatment and does not provide individual medical recommendations. The clinic must configure escalation rules so that sensitive, urgent or clinically significant questions are handed off to a human.
AI responses should be used as an auxiliary informational layer. The healthcare organization bears final responsibility for patient communication, medical decisions and adherence to professional standards.
Clinic responsibilities
The clinic is responsible for:
- accuracy of data about services, prices, doctors, branches and schedules;
- reviewing the knowledge base, FAQ, articles and reply templates;
- having a legal basis for processing patient data;
- training staff to use AI Bot and the communication channels;
- complying with healthcare and personal data legislation.
Integrations and data
The service can integrate with Clinica Web, messengers, web widgets and other systems. You grant us access only to the data and channels required for the selected functionality.
Personal data processing is governed by the Privacy Policy and by separate agreements with your organization, if any.
Payment and trial period
Terms for pricing plans, trial period, feature scope and limits may be defined by a separate commercial offer or contract. Unless agreed otherwise in writing, after the trial period ends access to paid functionality may be restricted until payment is confirmed.
Intellectual property
Rights to the software, interface, design, configuration models, documentation and AI Bot trademarks belong to us or our licensors. You retain rights to your own clinic materials uploaded to the service: articles, FAQs, regulations, service descriptions and other content.
Availability and limitation of liability
We strive to maintain stable service, but we do not guarantee uninterrupted availability, absence of errors or compatibility with every external system. Planned maintenance, updates, outages of third-party APIs, messengers, hosting or AI providers are possible.
To the extent permitted by law, we are not liable for indirect damages, lost profits, data loss caused by incorrect client configuration, or medical decisions made without the proper involvement of a specialist.
Termination, changes and contacts
You may stop using the service in accordance with the terms of your contract or pricing plan. We may restrict access in cases of violation of these terms, security threats, illegal use or non-payment.
